Web Email settings for major email providers

This article details the major web email settings you need to configure to work with ODMS.

 

Office 365

POP/SMTP settings

  • Email address: used to log into Office 365
  • Account name: same as the email address
  • Password: used to login to the email account
  • Incoming mail (POP): outlook.office365.com
  • Outgoing mail (SMTP): smtp.office365.com

  • Tick the box “My outgoing server (SMTP) requires authentication”
    • Select “Use same settings as incoming mail server”
  • Tick the SMTP port and change the port number to 587
  • Tick the POP port
  • Optional: tick the box “Leave a copy of the message on the server”

IMAP/SMTP settings

  • Email address: used to log into Office 365
  • Account name: same as the email address
  • Password: used to login to the email account
  • Incoming mail (IMAP): outlook.office365.com
  • Outgoing mail (SMTP): smtp.office365.com

  • Tick the box “My outgoing server (SMTP) requires authentication”
    • Select “Use same settings as incoming mail server”
  • Tick the SMTP port and change the port number to 587
  • Tick the IMAP port
  • Optional: tick the box “Leave a copy of the message on the server”

Ensure you have 2 Factor Authentication enabled

Add the App as an additional authentication

Add an App password: https://account.activedirectory.windowsazure.com/AppPasswords.aspx

Add the name of your device.

Now copy your password into the settings.

  • Log in to Microsoft 365 Admin Center
  • Go to Active Users and select the user.
  • Go to the Mail tab.
  • In the Email apps section, select Manage email apps.
  • Verify that the Authenticated SMTP setting is checked (enabled).
  • Select Save changes.

Authenticated SMTP

Hotmail/Outlook

POP is disabled by default so you have to enable this within the Hotmail/Outlook account.

  • Log in to the email account.
  • Click on the Settings icon and click Options

  • Within the POP options select Yes and then click Save

SMTP/POP settings

  • Email address: used to log into Hotmail/Outlook
  • Account name: same as the email address
  • Password: used to login to the email account
  • Incoming mail (POP): pop-mail.outlook.com
  • Outgoing mail (SMTP): smtp-mail.outlook.com

  • Email address: used to log into Hotmail/Outlook
  • Account name: same as the email address
  • Password: used to login to the email account
  • Outgoing mail (SMTP): smtp-mail.outlook.com
  • Incoming mail (IMAP): imap-mail.outlook.com

  • Tick the box “My outgoing server (SMTP) requires authentication”
    • Select “Use same settings as incoming mail server”
  • Tick the SMTP port and change the port number to 587
  • Tick the IMAP port
  • Optional: tick the box “Leave a copy of the message on the server”

Create the App password

Gmail

Enable Allow less secure apps

Follow the below steps to check this setting.

  • Login to the Gmail account.
  • Click on the Account in the top right and then click My Account

  • Select Sign-in & Security

  • Scroll down then ensure Allow less secure apps is switched on

  • Refresh the page to make sure the settings have applied.

Check POP and IMAP ports are enabled.

  • Click on the Options icon and then click on Settings.

  • Click on Enable POP or Enable IMAP

Go to the App Passwords Page: https://security.google.com/settings/security/apppasswords

 

Create the App password

Copy the App password and make it the password of the email for the DS-9500.

Yahoo

Enable Allow less secure apps

Follow the below steps to check this setting.

  • Click on the username and click Account info

  • Email address: used to log into Yahoo
  • Account name: same as the email address
  • Password: used to login to the email account
  • Incoming mail (POP): pop.mail.yahoo.com
  • Outgoing mail (SMTP): smtp.mail.yahoo.com

  • Outgoing mail (SMTP): smtp.mail.yahoo.com

Sign in and go to your Account security page.

Click Generate App password

Enter device name

Copy the App password and make it the password of the email for the DS-9500

iCloud

There is no POP email option for iCloud.

IMAP/SMTP settings

  • Email address: used to log into iCloud
  • Account name: same as the email address
  • Password: used to login to the email account
  • Incoming mail (IMAP): imap.mail.me.com
  • Outgoing mail (SMTP): smtp.mail.me.com

Go to: https://appleid.apple.com/account/manage

Now Click Edit under the "Security" tab

Click Generate App Password

Click Generate App Password

Add this password as the normal password for the account.
