Device Security

This guide will take you through how to configure PIN lock, encryption and Data Loss Prevention (DLP) to ensure security of the device and the recordings.

PIN lock prevents unauthorized entry to the device by prompting the user to enter a four digit pin.

Encryption prevents users from playing the file on a computer by prompting them to enter a password.

DLP prevents users from deleting and copying files to the device memory when connected to a computer.

Windows

You will need the Dictation Module software or the Device Customisation Program in order to configure the recorder.

 Device Security

PIN lock for the device can be set by going to:

  • Tools > Options > Device > Device Security

  • Click the 'PIN Code change' button. This will display the PIN code change box, allowing a more secure PIN to be set. The default PIN is 0000.

  • Tick the 'Enable Device Lock function to prevent unauthorized access to the device'
  • The device will prompt the user to enter a PIN at power-on. The device can also be set to prompt the user for a PIN at both power-on and wake-up from standby
  • The number of access attempts can also be limited to allow for upto 10 attempts
  1. Once the 10 attempts have been reached the device will lock itself for 10 minutes
  2. Switching the device off will reset the lock timer to 10 minutes.

  • Then click Apply/OK.
  • Click Tools > Options > Device > Device Folders.

  • Select the folder that is being configured.
  • Click into the Password field and click the … button.
  • The prompt below will appear.

  • Enter the password and confirm it then click OK.
  • Select the Encryption format from the drop down (for DS-5000 / Pro Release 5 users, 128-bit is available for backwards compatibility).

  • Click Apply to save the changes.

PIN lock for the device can be set by going to:

  • Set the Encryption attribute to Yes.
  • Click Apply to save the changes.
  • Connect the recorder
  • Click on Device Security
  • Tick the box "Enable read-only mode"
  • Click Update > Only this page

DLP

  • Click on Workflow menu > Devices sidebar > Devices submenu
  • Select a Device > click on Profiles  > Edit Profile
  • Click on Device Security
  • Tick the box "Enable read-only mode"

DLP in SCP

Mac

You will need the DSS Player for Mac software in order to configure the recorder.

PIN lock for the device can be set by going to:

  • Device > Device Settings > Device Security.
